Refund & cancellation

Eligibility

Refunds apply to fees paid for professional review services that have not been fully delivered, subject to the conditions below. This policy covers advisory and assessment engagements only.

Cancellation by you

If you cancel more than seven calendar days before a scheduled on-site day or agreed evidence-start date, we refund prepaid fees minus a R750 administration charge. Cancellations within seven days forfeit the deposit and any third-party booking costs already incurred.

Rescheduling

One complimentary reschedule is allowed with at least five business days’ notice. Later reschedules may incur a R500 fee or require a new deposit if travel was arranged.

Work already started

Once evidence collection or analysis has begun, fees for completed stages are non-refundable. Unused later stages may be refunded proportionally if we agree to stop the engagement.

No-shows

If your nominated contact misses a scheduled workshop without 24 hours’ notice, that session is charged as delivered. We will offer one makeup slot within fourteen days subject to availability.

Deposits

Deposits secure on-site dates and are applied to the final invoice. Deposits become non-refundable inside the seven-day cancellation window.

Non-refundable items

Pre-purchased travel outside greater Cape Town, courier fees for physical media you requested, and completed written reports are non-refundable.

Refund process & timing

Email hello@filebirchfield.click with your engagement reference and reason. Approved refunds are processed within ten business days to the original payment method.

Filebirchfield cancellations

If we must cancel for reasons within our control, you may choose a full refund of prepaid amounts for undelivered work or a rescheduled date at no extra charge.
